If you manage a dossier filing system, then the question arises whether the filing should be done with indexing or with barcodes. Indexing is suitable for small to medium document volumes (up to approx. 100 pages per day), but if there are more documents to be filed, you should seriously consider barcode processing, since the barcode information attached to the sheets can provide the pages with actual reference numbers. This can ensure 100% later access via this key information.
Text Research Archive: If you tend to scan texts, preferably work with Archivista's OCR recognition and full text indexing. When using OCR recognition, make sure that the correct language sets are assigned to the pages. Critical umlauts are recognized much better and excellent results can be achieved with the extensive dictionaries.
Data integration of existing documents: Files that already exist in digital form can be uploaded directly to WebDMS or entered via the ArchivistaBox release path. It is also possible to capture digital information (e.g. web pages) that is not available as a file via the ArchivistaBox virtual printer. More information can be found under 24.6.
Data Backup is and remains a very central point in any DMS. The ArchivistaBox offers a wide range of options for backing up data. In detail these are: a) Backup to USB disk or via network, b) Creation of archive data carriers (CDR/M-Disk) and c) Publishing of archives.
