Basic scope and modules of ArchivistaBox
The following is a rough overview of the functionality. A list of this kind is never 100% comprehensive, the aim is rather to provide an overview of the possibilities of the ArchivistaBox.
The ArchivistaBox is delivered with the following basic functionality:
-
- Web-based document management system (DMS)
- ArchivistaDMS can be run in any web browser
- Mobile mode for smartphones and tablets
- Any type of document (images, Office, PDF, audio and video files)
- Any number of users (number of concurrent users according to the box model)
- Databases: 20 GByte to 200 TByte (up to 286 million documents with 640 pages each)
- Daily volume: 100 pages to 100,000 pages (expandable with cluster solution)
- User connection: Standalone, LDAP or HTTP request
- Number of databases according to box model (one database is recommended)
- Multiple mandates per database (via owners or groups)
- Customized fields per database: 99, number of user masks: 16
- Assignment of rights down to field level per user or mask
- Connection of scanners via Sane standard or FTP/SMB
- Entry of documents via ArchivistaDMS or FTP/SMB
- Versioning of documents (can be optionally activated at any time)
- Server for virtual printing (CUPS)
- ArchivistaDesktop (native or via web browser)
- ArchivistaERP (incl. ArchivistaDMS interface)
- ArchivistaVM: Virtualization on each ArchivistaBox (cluster solution with DRDB)
- SSL encryption, backup: hard disk, network, RSync
- LetsEncrypt or other certificates for HTTPS access
- Self-supporting archiving (license-free runtimes) for each ArchivistaBox
- User-defined scripts at database or processing job level
- Speech recognition for audio and video files (can be switched on optionally)
The ArchivistaBox can be extended with the following modules for this purpose:
API module: Automated access to ArchivistaDMS with HTTP requests. This allows ArchivistaDMS to be integrated into any third-party application or the entire functionality is available for automated access.
COLD module: When importing documents, meta keys can be automatically extracted into fields via standardized interfaces. This eliminates the need for manual keywording.
Barcode module: Recognition of barcodes (1D as well as 2D) when processing documents, whereby both scanned and digital documents can work with barcode recognition. With the 1D barcode, a maximum of 40 barcodes with 40 characters each can be recognized; with the QR code (2D barcode), the number of characters is limited only by the size of the QR code (usually approx. 2000 characters)
Mail archiving: Mail messages can be entered automatically via the IMAP protocol and with the corresponding fields (Title, From, To, CC). When archiving mail, you can specify whether or not attachments should be extracted or which file attachments should not be processed. It is also possible to specifically check the integrity of each email message during import.
O365 archiving: Office365 archiving works in the same way as mail archiving, but the mails are collected from Microsoft Office365 accounts and processed.
The ArchivistaBox is developed by the company Archivista GmbH in Switzerland. If a desired functionality is not available, it can be implemented at any time with very modest effort.
